The Products module is used to manage all items that you use in your price quotes. These can include physical products, services, hourly work, or any other items that you regularly price.

The main advantage of the Products module is that you do not need to repeatedly enter the same items. You save a product once and then simply select it when creating price quotes. This reduces errors, speeds up your workflow, and ensures pricing consistency.

Products can be created in the system by:

  • manual entry,
  • Excel import,
  • feed import,
  • automatic creation when a product is first used in a price quote.

Product List

When you open the Products module, a table displaying all saved products appears. This list represents your central product catalog.

Searching for Products

Above the table, there is a search field that allows you to filter products by:

  • product name,
  • SKU (stock keeping unit / product code).

If you have created product categories, you can also filter by category. In that case, the system searches within the selected category and its subcategories. This is especially useful when managing a large number of products.

Product Table Content

The table displays:

  • product name,
  • SKU ( product code ),
  • prices,
  • custom fields (if defined and filled in)

Similarly to the Customers module, you can select multiple products at once and perform bulk actions.

Bulk Actions with Products

When one or more products are selected, anAction,menu appears above the table, allowing you to:

  • delete selected products,
  • change the price of selected products,
  • change the VAT rate of selected products.

These bulk actions are particularly useful for:

  • general price increases,
  • VAT rate changes,
  • cleaning up outdated or unused products.

Import, Export, and Product Feeds

Accepio allows you to manage products in large volumes.

Exporting Products

You can export products to an XLSX file. The export respects active filters, so you can export only a specific category or selected products.

Importing Products from Excel

When importing from Excel, you select an XLSX file and then map the table columns to fields in Accepio. This method is ideal if:

  • you are migrating from another system,
  • you maintain products in Excel,
  • you need to import a large number of items at once.

Feed Import

In addition to Excel, products can also be imported from various XML feeds, such as:

  • Heureka feed,
  • Google Merchant feed,
  • Facebook Catalog feed,
  • Upgates feed.

When importing a feed, you enter the XML file URL and start the import process. Since not all feeds contain VAT or unit information, the system allows you to enter these details manually.

Adding a New Product

You can add a new product by clicking the Add button. A form will appear where you enter the basic product information.

Basic Product Information

For each product, you enter:

  • product name – required field,
  • SKU – product code,
  • product description – text description of the item,
  • sales price – if you are a VAT payer, this is the price excluding VAT
  • unit of measure – e.g., pcs, m, hour, package,
  • VAT rate – visible only to VAT payers,
  • price including VAT – informational field for VAT payers.

Product Image

You can add an image to each product. The image can be uploaded by clicking the designated area or by dragging and dropping the file. Product images can also be displayed directly in price quotes, significantly improving their clarity and presentation.

Product Detail

When you click on a specific product, its detail page is displayed. In the detail view, you can:

  • edit all product information,
  • delete the product,
  • create a copy of the product.

When creating a copy, the system automatically adds a label to the product name to indicate that it is a duplicate record. This feature is useful when creating a similar product with slightly different pricing or parameters.

Product Categories

The Products module also includes category management. Categories help logically organize products and improve navigation within the catalog.

Categories:

  • have a tree structure,
  • can be rearranged using drag & drop,
  • allow a single product to belong to multiple categories.

Proper use of categories is especially beneficial when managing a large number of products or importing items from feeds.
