Accepio is an online application designed for creating and managing price quotes. It allows you to keep track of customers and products, generate professional price quotes, monitor their status, and communicate with customers in a modern way, including interactive online price quotes.
Yes. Accepio is designed so that it can be used by an individual or a small team. At the same time, it can handle a larger volume of price quotes and support team collaboration.

Yes, with the FREE version you can create up to 10 free price quotes per year. Importing data from XLSX files or customizing the design is not available in the free version, but the output you receive is still professional-looking and accurate.
Yes, the PREMIUM version is paid for the period you need (monthly or yearly). After the subscription ends, your account automatically switches to the FREE version. Upon the next payment, it switches back to PREMIUM.
Yes, you can create a price quote on your mobile device in just a few minutes. It is recommended to use the tile view on mobile, which you can set in the app.
Of course, you can invite team members using the 'Invite Colleague' button in the app. You can then choose whether your colleague will be an admin or just a user. An admin has greater control.
You can set information about yourself and your company, add your logo, and customize system texts. You can choose whether to include prices, images, and a summary. Additionally, you can customize the colors in your template and select from two types of line designs for items (please note that these advanced settings are only available in the PREMIUM version).
Customers
You can add a new customer in the Customers module by clicking the 'Add' button. You can choose whether it is an individual or a company, and then fill in the required information.
For a company, you also enter company identification details (Company ID, Tax ID, VAT ID) and a contact person. For an individual, only basic contact information is required.
Yes. Accepio allows you to import customers from an XLSX file. During the import, you can map the columns from Excel to the fields in the system.
No. Changes to customer information will only affect future price quotes. Existing quotes remain unchanged.
Products
It is not required, but recommended. If you enter a new product directly in the price quote, the system will automatically save it for future use.
If you are a VAT payer, the product price is usually entered without VAT, and the system automatically calculates the VAT. This behavior can be adjusted in your profile settings.
Yes. In the product list, you can select multiple items at once and change the price or VAT in bulk.
Yes. Products can also be imported from XML feeds, for example from Heureka, Google Merchant, Facebook Catalog, or Upgates.
Price quotes
Create a new price quote by clicking the „Add“ button in the Price Quotes module. Then select or create a customer and start adding items.
Yes. You can change the status of a quote at any time directly in its details or using the Kanban view. Every status change is recorded in the history.
Quote statuses indicate the stage of the deal, such as Created, Sent, Won, or Lost. They help you keep track of the progress of each deal.
Yes. You can copy any quote to create a new one with the same content, which you can then edit.
Items in a price quote
In a price quote, you can use:
- product items,
- notes (text without price),
- and summaries (subtotals).
A summary calculates the price for a section of the quote. It is mainly used when dividing a quote into multiple sections to give the customer a clearer overview.
Yes. You can add an image to a product item, which will appear in the PDF as well as in the interactive price quote.
PDF and printing
There are 6 templates available: 2 are free, and 4 are available in the PREMIUM version.
Yes. You can adjust colors, font size, display of prices, images, and other elements. The available options depend on your subscription type.
In the price quote details, click the PDF button, then "Download PDF." The file will be saved to your computer.
Interactive (online) quote
An interactive price quote is a web version of your quote that the customer opens via a link. It allows better presentation, communication, and confirmation of the quote.
The customer must enter a PIN code, which the system automatically sends via email after the quote is sent.

Yes. The customer can accept the quote directly in the interactive version. You are immediately notified of this action.
Kanban and tasks
Kanban provides a visual overview of price quotes by status. It helps quickly identify which deals require the next action.
Yes. Quote statuses are fully configurable in the system settings.
Tasks serve as reminders, for example to call a customer or respond to a quote. They can be linked to a specific quote or be standalone.
Profile and settings
These settings are in the Profile module under system settings.
Yes. Accepio allows you to create custom fields for customers and products, which you can adjust to your needs.
No. The purchase price is internal and is never printed on the price quote. It is used only to calculate profit.
